Privacy
What we hold, and what we do with it.
Your books are yours. Below is everything Vinimay stores, every outside service that ever sees any of it, and exactly what happens when you delete something.
Your account
Your name, email address and — if you add one — your mobile number. Your password is stored only as a bcrypt hash and cannot be read back by us or anyone else.
Your business records
Everything you enter to run the shop: companies, warehouses, items, stock movements, invoices, payments and ledgers. This is your data. We do not analyse it to build profiles and we never sell it.
Your customers and suppliers
The party details you type in — name, mobile number, email, GSTIN and address. You are responsible for having a reason to hold them; we hold them only to show you your own khata and to print your bills.
Devices and sign-ins
For each signed-in device: a device label, operating system, browser, app version, IP address and an approximate city derived from that IP. This is what makes Settings → Active Sessions able to show you where your account is open, and let you sign a device out.
Changes to your account
When your name, email or mobile number changes we record the old and new value with the device and IP it was changed from, so you can tell a change you made from one you did not. You can read this yourself under Settings → Account Change History.
AI assistant messages
If you use the assistant, what you asked and what it did is kept as an audit record so a mistaken action can be traced. The assistant is off unless it has been switched on for your account.
Who else sees it
Four services, each for one job. We do not sell your data, and we do not use your books to train any model.
- PhonePe (Payment Gateway)Taking subscription payments.
Your name, email and mobile number are sent with each payment order because the gateway requires a contactable customer on every order. Card, UPI and netbanking credentials are entered on PhonePe's own PCI-DSS secured page and never reach our servers.
- OpenAIRunning the AI assistant.
Only if you use it. The message you type and the specific business records needed to answer it are sent to the model. Nothing is sent when the assistant is switched off, which is the default.
- Google (Gmail API)Sending transactional email.
Verification codes, password resets and security notices are delivered through Gmail. Only your email address and the text of that message are involved.
- ip-api.comNaming the city on a sign-in.
The IP address of a new sign-in is looked up so the sessions list can say “Pune” rather than a bare number. Nothing about your business is sent.
Data deletion
Deleting your data, at every level.
Most things you can delete yourself, in the app. Erasing an account outright goes through us, on purpose — it is not something a mistaken tap should be able to do.
- 1
A single record
In the appOpen the invoice, party, item, company or warehouse and delete it. It stops appearing in your books immediately. The underlying row is retained rather than destroyed, so documents that referenced it stay readable and your GST trail stays reconstructable — which is what tax law expects of a book of accounts. Ask us if you need one erased outright.
- 2
A staff login
In the appSettings → Team → remove the member. Their access ends at once and every device they were signed in on is signed out. The invoices they raised stay in your books, as accounting records have to.
- 3
Your whole account and its data
By emailWrite to us from the email address the account is registered to, with the subject “Delete my account”. We confirm it is you, then permanently erase your account, your companies, your parties, your items, your invoices and your payment records. There is no in-app button for this yet, deliberately — it is not something we want a mistaken tap to do.
Request account deletion
Email contact@vinimay.in from your registered address with the subject “Delete my account”. We confirm it is you, then erase the account and everything under it within 30 days — and tell you when it is done. Ask in the same email if you want your books exported first.
Privacy FAQ
Questions about your data.
If something here is not clear enough, ask — a privacy answer you have to interpret is not an answer.
Ask us directlyEmail us from the address your account is registered to with the subject “Delete my account”. We reply to confirm it is really you, and once confirmed we erase your account and all the business data under it — companies, warehouses, parties, items, invoices, payments and ledgers — within 30 days. You will get a confirmation when it is done. If you would rather export your books first, say so in the same email and we will send them before deleting anything.
It is removed from your books, your reports and your GST figures straight away. The row itself is kept rather than destroyed, because an invoice is a statutory record: GST law expects a registered business to be able to produce its books years later, and a bill that simply vanished would leave a hole in the numbering and in the ledgers that referenced it. If you need a record genuinely erased — a party added by mistake, say, or a customer exercising their own deletion right — email us and we will do it.
No to both. We do not sell, rent or share your business data with advertisers or data brokers, and we do not use your books to train any model. The only outside services that see any of it are the four we need to run the product: PhonePe (our payment gateway), the AI provider when you use the assistant, Google for sending email, and an IP lookup that turns a sign-in address into a city name.
They are stored so you can see a party’s khata, print their bills and — if you switch it on — give them portal access to their own statement. We do not contact your customers, market to them, or share their details with anyone. If one of your customers asks you to delete their details, delete the party in the app and email us to have the record erased outright.
Only what you grant. Permissions are set per role across eleven modules, and can be scoped to specific companies and warehouses. Anything a person cannot do is removed from their navigation rather than merely disabled. You can see every device signed in to your own account, and sign any of them out, under Settings → Active Sessions.
On managed MongoDB infrastructure. Your business records are kept for as long as your account is open, because they are your books — we do not expire them when a subscription lapses. Sign-in and account-change records are kept so you can audit your own account. Everything is erased when you ask us to delete the account.
Only when you use it, and only what the question needs: your message, and the business records required to answer it. Every action that would change something is shown to you as a filled-in card and runs only when you confirm it. The assistant is off by default and has to be switched on for your account.
Settings → Edit Profile. Changing your email sends a six-digit code to the new address, and nothing changes until you enter it. Changing a mobile number that is already on the account asks for your password first, and we email your registered address to tell you it happened. Both changes are written to Settings → Account Change History with the device they were made from.
FAQ
Questions people ask before they start.
Still unsure whether it fits the way you trade? Tell us what your day looks like and we will tell you honestly.
Ask us directlyNo. Vinimay runs in two modes. GST invoicing produces statutory tax invoices with CGST/SGST or IGST, HSN codes and both GSTINs. Simple billing produces a clean retail bill with no tax columns at all — the right choice for composition dealers, unregistered traders and counter retail. You pick one when you first open the app and can switch whenever your registration changes.
Yes, and that is the point of the two-unit system. Set a primary unit (box, crate, kilo) and a secondary one (piece, bottle, gram) with the conversion between them. Bill in whichever unit the customer asks for and stock comes off the shelf correctly either way. Valuation and low-stock alerts speak the same units.
It can create sale and purchase invoices, record payments, add parties and items, adjust stock, and answer questions about your own data — low stock, today’s profit, who owes you the most. Every action that changes something is shown to you as a filled-in summary card first and runs only when you confirm it.
A4 for a full statutory tax invoice, A5 for a compact half page, and 80mm thermal for a counter receipt roll. The layout is genuinely redrawn for each format. Text size and bill accent colour are adjustable, and every bill can be produced as a PDF and sent to WhatsApp instead of printed.
Yes. Permissions are a grid of eleven modules with view, create, edit and delete on each. Presets exist for Salesman (sale billing only) and CA (read-only reports and registers), or you can build your own role. Anything a person cannot do is removed from their navigation entirely, and access is scoped to the companies and warehouses you grant them.
One login covers as many companies and warehouses as you need. Each company keeps its own GSTIN, bill design, bank details and numbering; each warehouse keeps its own stock. You switch between them from the sidebar and the whole app follows.
If you give them portal access, yes. Each party gets a login to a read-only portal with their statement of accounts, every invoice in full, every payment receipt you recorded, and a print button. Credentials are generated when you save the party and can be sent over WhatsApp with the link already written.
Eleven: English, Hindi, Bengali, Telugu, Marathi, Tamil, Gujarati, Kannada, Malayalam, Punjabi and Odia. Not just the menus — field labels, validation messages, report explanations and dialogs are all translated. The app picks up your device language on first launch and the choice is per user, so different staff can work in different languages on the same data.
Android and iOS phones and tablets, and any modern browser. It is the same account and the same data everywhere — bill on a phone at the counter, check reports on a laptop in the back office. Your customers reach the party portal through a browser and need nothing installed.
